Terms and Conditions – National Three Peaks Challenge

By registering for a charity place in the National Three Peaks Challenge. I agree to the following terms and conditions set out by The Air Ambulance Service (TAAS). 

The Terms and Conditions set out within this document are between the participant (referred to as “I”, or “the participant” within the document), and The Air Ambulance Service, referred to as “TAAS”, or “we” within this document.  

“The Air Ambulance Service (TAAS)” delivers lifesaving care through two vital services. The “National Children’s Air Ambulance (NCAA)” operates across England, Scotland and Wales, providing specialist transfers for critically ill babies and children. “Your Local Air Ambulance (YLAA)” brings rapid emergency care to communities across Warwickshire, Northamptonshire, Derbyshire, Leicestershire and Rutland.

The Air Ambulance Service is registered in England and Wales as a limited company by guarantee. Registered Company No. 4845905. Registered Charity No. 1098874.

By registering for a charity place in The National Three Peaks in 24hrs I agree to the following terms and conditions set out by The Air Ambulance Service (TAAS).  

1. General Participation

• I understand that this event is organised by a third-party organizer – Sky Blue Adventure and Mountaineerin- not by TAAS and that my participation is subject to their general entry conditions
• I accept responsibility for reading and complying with any terms and conditions issued by the event organiser.  
• I understand that TAAS will share my registration details with the event organiser for the purpose of event delivery and administration.  
• I confirm that I am medically and physically fit enough to undertake this challenge, aged 18 or over, and that I take part in this event at my own risk.  
• I acknowledge that TAAS will not be held responsible for any injury, illness, or loss sustained during training or participation.  
• I acknowledge that should I have to withdraw from the event due to any illness or injury, my place will not roll over to any future events.  
• I acknowledge that if I become aware of any reason - including illness or injury – that may prohibit my participation, I will inform TAAS as soon as reasonably possible, so that they may be able to replace me with another participant.  

2. Registration Process

• I understand that my charity place is provisional until I have completed a full registration form, agreed to these terms and conditions, and made payment of a non-refundable registration fee £95.  
• I understand that this registration fee will cover the administration costs incurred through the awarding and initial management of my place in the event. As such, it will not be counted towards my overall fundraising.  
• I agree to complete this registration promptly to secure my place in the event.  
• I understand that to confirm my entry in the event – and redeem a spot in The National Three Peaks - I will have to complete a further registration process.
• Third party registration forms must be completed ahead of a registration deadline, of which the participant will be advised of during the registration process with TAAS. TAAS hold no responsibility for any failure by an individual to complete those forms before said deadline, or subsequent failure to redeem a race place for any reason.

3. Fundraising Commitment

• I commit to raising a suggested target of £950 to take on this event for TAAS, with TAAS offering full support, guidance and practical advice throughout to help me reach that target. I further commit to contacting TAAS as soon as possible if I find myself struggling with my fundraising, or if I have any concerns about my ability to meet that target. 
• I acknowledge that TAAS has paid for my place in the event and that my fundraising efforts in return will contribute towards the costs of delivering their charitable services and funds are directed where need is greatest, maintaining operational readiness and meeting patient needs across all their services 
• We will never request you “top up” your fundraising total to reach any target or hold you to that figure as a “minimum target” but, please be conscious that every pound raised makes a big difference, and we hope everyone registering to take on this event does so in good faith, with that suggested target in mind. 
• I commit to ensuring that any offline donations are passed to the charity within four weeks of the event. I understand that all offline donations are made to me in trust, and I am legally responsible to ensure that 100% of funds are paid to TAAS. 
• I acknowledge that neither my Registration Fee, nor Gift Aid will be counted towards my suggested fundraising target.   

4. Participant Requirements

• I confirm that I am 18 years or older on the day of the event.  
• I understand that I am responsible for ensuring I am physically prepared to complete The National Three Peaks in 24hrs.
• If I have any concerns about my health or fitness, I will consult my GP before taking part.  
• I will not consume alcohol, or non-prescription substances prior to, or during the event.  

5. Event Logistics

• I understand that the event is managed by a third-party organiser – Sky Blue Adventure and mountaineerin - and that they are responsible for all event logistics, including timing, route management, and safety. 
• I understand that any expenses relating to my participation in the challenge such as travel or accommodation before and after the event are my own responsibility, and that I will not be reimbursed by TAAS.  

6. Cancellations & Deferrals

• If I am unable to take part, I will notify both TAAS and the event organiser as soon as possible. I understand that should I cancel my place, or, withdraw from the race, it will not be rolled over into a future version of the event.  
• Should I withdraw from the event, I understand that my donors may be entitled to a refund of their donations, and I agree to support TAAS to administer this process as needed.

7. Fundraising Conduct

• I will fundraise in a way that is safe, respectful, and in line with TAAS’ values and The Fundraising Regulator Code of Practice.  
• I will only reimburse expenses from any fundraising activities I undertake after gaining written consent to do so from TAAS, with those expenses being deemed “reasonable”. If I do reclaim any reasonable expenses from fundraising activities, I will ensure that I specifically state that “all profits” or “all proceeds” raised will be going towards my fundraising in any communications shared with donors surrounding that specific activity.  
• I will not bring TAAS into disrepute.  
• I will not use TAAS’ name or branding without prior permission.  
• I will not collect donations in public or private spaces without the appropriate permissions or licences.  
• I will not run raffles, lotteries, or prize draws without understanding and complying with relevant legal requirements.  
• I will not sell alcohol or goods using TAAS’ name without prior written agreement.  

8. Data Protection

• My personal data will be processed in accordance with TAAS’ Privacy Policy and shared only where necessary for event delivery and administration.  
• I understand that I will receive emails and calls from TAAS as part of the operational requirements for this event - including important updates, fundraising support, and logistical information.   
• I understand that photographs and/or video footage may be taken during the event.  
• I give permission for TAAS and the event organiser to use my image and photographs featuring me for promotional purposes, unless I notify them otherwise in advance.  
• I am aware I can update my contact and data protection preferences at any time by emailing: challenge@theairambulanceservice.org.uk.legal 
• TAAS may update these Terms and Conditions at any time. The latest version will be available on the website here: (insert website T&C’s here )
• These Terms and Conditions are governed by the laws of England and Wales.
