Terms and Conditions for DIY fundraisers
To fundraise for The Air Ambulance Service (TAAS), by organising your own event, activity or challenge, you must agree to the terms and conditions (T&Cs) below. These T&Cs constitute the fundraising agreement between TAAS and you, as a participant.
TAAS operate the Warwickshire and Northamptonshire Air Ambulance, the Derbyshire, Leicestershire and Rutland Air Ambulance, and the national Children’s Air Ambulance. All donations gratefully received enable The Air Ambulance Service to meet the clinical needs of patients by covering the operational costs to ensure all our vital services are ready to respond.

Planning your event, activity or challenge
- If you are under 18, your parent/guardian takes responsibility for you under these T&C (which you have shown them), please also ensure they are happy about what you've chosen to do.
- I understand that the fundraising event, activity, or challenge I’m organising is in aid of TAAS and that:
- The event, activity, or challenge is my responsibility (including but not limited to all costs and liability) and TAAS bears no responsibility or liability whatsoever for the event. The event, activity, or challenge won’t be covered by TAAS’ insurance programme. If appropriate, I will arrange my own insurance and will make sure that contractors and external facilities used can demonstrate evidence or the relevant insurance cover.
- If taking part in an active challenge, I confirm that I am medically fit and acknowledge and agree that I participate in the challenge at my own risk. TAAS shall not be responsible or liable for injury or illness resulting from my participation and I need to arrange my own insurance.
- I am responsible for the health and safety of all involved in my event, activity, or challenge.
- I am responsible for ensuring food hygiene and ensuring that I have the relevant licenses e.g. if selling alcohol at the event.
- Permission
If you’re holding an event in a public place, you must get permission first, either from the local authority or the property owner.
- Photos
If you plan to take photos of other people at your fundraiser, please make attendees aware.
- First aid
If you’re holding an event involving a large group of people, make sure that you have appropriate first aid support in place. You can get advice from St John Ambulance or the British Red Cross. As a basic guide, there should always be someone on hand to help for smaller events, but for larger events involving around 500 people, there should be a minimum of two qualified first-aiders on site.
- Other fundraising which may require a licence
In addition to public collections and lotteries some other things require a licence too, such as using recorded music, putting banners or signs in public spaces, etc. Please contact the local authority to find out which licences you need for your fundraising.
- Data protection
Only collect the information you need. Keep it safe, do not share it and only keep it for as long as you need, and securely dispose of data no longer needed. Do not leave or store materials containing personal data, such as filled-in sponsor forms or registration forms, in insecure locations.
Fundraising
- I will use my best endeavours to raise money for TAAS in connection with my participation in the event.
- I understand and will make clear to those who support my fundraising that any money I send into TAAS will be treated as a donation and used to support the services that TAAS operates.
- Donations are not generally refundable, even if the event does not take place.
- I will forward all monies donated to the Charity either by cash, cheque, CAF or via an online giving provider no later than four weeks after the event.
- I will only use lawful means to fundraise for TAAS and will not bring the charity's names into disrepute. I will observe the following fundraising rules, and I will comply with any further rules and requirements about fundraising of which TAAS may notify me:
- I will not use the TAAS’ or any associated logo without first obtaining permission from TAAS and will allow TAAS to approve any materials produced whether printed or online. I will only use the authorised ‘in aid of’ logo sent to me by TAAS, I will not download any other logo from websites, etc., and I will use the logo as directed.
- I will tell event attendees that I am raising money “in aid of” TAAS.
- I will not incur nor am I authorised to incur any cost, claim, loss or liability on behalf of TAAS.
- I will contact TAAS before conducting any raffle, lottery or public event, and comply with any guidance, guidelines or insurance and legal requirements issued by TAAS in connection with this kind of event.
- I will obtain approval from TAAS before approaching press or celebrities to support my event.
- I will secure the necessary approvals prior to undertaking street collections or collections on private property. House-to-house collections are not
- I will ensure that I take responsibility for the safe keeping of money raised in TAAS’ name, both during and after the collections, until it is transferred to TAAS, and I will:
- If relevant, send TAAS my completed sponsor forms with details of the names and addresses of and amounts donated or pledged by all sponsors no later than 4 weeks after my event. This will allow TAAS to process gift aid on donations. Please note that we will not contact your sponsors.
- Ensure that donations of £20 or more made by cheque are payable to The Air Ambulance Service' and ensure that these cheques are sent to TAAS no later than 3 weeks after issue.
- Only use sponsorship forms issued by TAAS and not use any other type of sponsorship form (unless otherwise agreed with TAAS).
Confirmation
I confirm I have read, understood, and agree to all the terms and conditions set out above, and understand TAAS may terminate our relationship if I am in breach of any of the terms and conditions.
We recommend that you print and keep a copy of this agreement with a note of the date on which you accepted its terms and conditions. Collection Tin/Bucket Terms and Conditions
- Permission for a collection must be granted from the appropriate persons. If the collection tin(s)/bucket(s) are for use at a private property, permission should be granted from the property owner. If the collection tin is for use in a public place, the local authority must be contacted.
- All collectors must be aged 18 or over.
- All donations collected must be submitted in full to TAAS. No deductions made for expenses or fees can be made.
- A witness, over the age of 18, must be present at the counting of donations.
- If the tin(s)/bucket(s) are lost or stolen, or you believe the contents are being pilfered or interfered with in any way, you must contact TAAS immediately and report it to your local police as soon as possible.
- If the tin is going to be unattended at any time, the attached chain should be used to secure it.
- Collectors should undertake their work in a courteous and ethical manner which maintains the high standing of TAAS, and which places no undue pressure on potential site holders or donors to participate in collections.
- Collection tin(s)/bucket(s) must only be used with unbroken seals. If the collection is static and ongoing, (e.g. a collection tin on a shop counter or bar), the tin must be emptied after three months, and all donations must be submitted to TAAS. If you wish to continue your collection after three months, please contact us and we will supply you further security labels.
- Your collection tin(s)/bucket(s) may be kept for a maximum of 12 months if undertaking a static collection and within one month of an event or collection.
- When your collection tin(s)/bucket(s) are full, please count your collection and pay it into your own account then send it to us by filling in the online paying, calling our Supporter Experience team to pay over the phone by calling us on 0300 3045 999 or by sending us a cheque with your contact details and a brief description of the donation. Please then return the tin to TAAS.
